1. Overview

This Refund Policy governs all requests for refunds or compensation in connection with visa facilitation services provided by Visarun LLC-FZ through the Visarun platform. It forms part of our Terms of Service, available at:

By using our Service and completing a payment, you acknowledge and agree to the terms of this Refund Policy.

IMPORTANT: Visarun is a visa facilitation intermediary. We are not an embassy, consulate, or immigration authority. We do not issue visas and have no influence over visa decisions. A visa refusal does not, in itself, entitle you to a refund of any fees.

2. Fee Structure

Every payment made through the Visarun platform consists of two distinct components, each governed by different refund terms:

Both components are displayed separately and itemised on the checkout page before payment is confirmed. You will not be charged any amount beyond what is displayed at checkout.

3. Visarun Service Fee — Refund Conditions

The Visarun Service Fee may be refunded in the following circumstances:

3.1 Eligible for Full Refund

  • You have submitted a refund request before Visarun has commenced processing your application (i.e., before document review has begun).
  • Visarun is unable to process your application due to a technical error or internal failure on our part, and no alternative solution is offered within a reasonable timeframe.
  • The service you paid for was not delivered due to circumstances attributable solely to Visarun.

3.2 Eligible for Partial Refund

  • Processing has commenced but has not been completed, and you request cancellation before submission to the Consular Authority.
  • In such cases, Visarun will refund the Service Fee less the costs already incurred, calculated at Visarun’s reasonable discretion and not exceeding the full Service Fee paid. The applicable refund amount will be communicated to you within 5 business days of your request.

3.3 Not Eligible for Refund

  • Your application has been submitted to the Consular Authority, regardless of the outcome.
  • Your visa application has been refused, delayed, or subjected to additional requirements by the Consular Authority.
  • You have provided false, inaccurate, incomplete, or fraudulent information or documents.
  • You have failed to provide required documents or information within the timeframes communicated by Visarun, resulting in a missed deadline or lapsed application window.
  • You have changed your travel plans or no longer require the visa after submission has commenced.
  • The visa was granted but you are unable or unwilling to travel.

4. Visa / Consular Fee — Refund Conditions

The Visa / Consular Fee is paid directly to the relevant embassy, consulate, or immigration authority on your behalf. This fee is set and controlled entirely by the relevant government authority.

The Visa / Consular Fee is non-refundable once it has been submitted to the Consular Authority. Visarun has no ability to recover this fee from any government body and accepts no liability for its non-refundability.

In limited circumstances, certain Consular Authorities may refund the consular fee (for example, in the event of duplicate payment or a technical error at submission). If Visarun receives such a refund from a Consular Authority on your behalf, we will pass it on to you in full, less a reasonable administrative processing fee not exceeding 10% of the amount received.

Visarun makes no representation or warranty that any Consular Authority will issue a refund under any circumstances. Any such refund is entirely at the discretion of the relevant authority.

5. Absolute Exclusions — No Refund in Any Circumstance

No refund of any fee — whether the Visarun Service Fee or the Visa / Consular Fee — shall be due or payable under any circumstances where:

  • The user has provided, uploaded, or submitted false, forged, altered, or otherwise fraudulent documents or information in connection with the visa application. This includes, without limitation, falsified identity documents, altered financial statements, fabricated employment or sponsor letters, or misrepresented travel history.
  • The visa application has been refused on grounds of misrepresentation, document fraud, or any form of dishonesty on the part of the applicant.
  • The user failed to respond to requests for additional information or documents within the deadlines communicated by Visarun via email, SMS, or the Visarun platform.
  • The visa was refused or delayed due to circumstances entirely within the user’s control (e.g., criminal record, immigration history, insufficient funds, prior overstays).

Visarun reserves the right to withhold any refund pending investigation where fraud or misrepresentation is suspected, and to report such cases to the relevant authorities where required by law.

6. Non-Compensable Losses

Visarun shall bear no liability and shall not provide any compensation in respect of losses arising from visa refusals, delays, or additional requirements imposed by any Consular Authority, including but not limited to:

  • Airline tickets, flights, or other transportation costs purchased in anticipation of travel.
  • Hotel, accommodation, or lodging reservations.
  • Tour packages, excursions, or pre-booked travel itineraries.
  • Travel insurance premiums.
  • Currency exchange losses.
  • Loss of earnings, business opportunities, or contractual obligations.
  • Any other direct or indirect financial loss arising from reliance on an anticipated visa outcome.

Users are strongly advised not to purchase non-refundable travel arrangements prior to receiving official visa approval from the relevant Consular Authority.

7. How to Submit a Refund Request

Your request must include:

  • Your full name and registered email address.
  • Your order or application reference number.
  • The visa type and destination country.
  • A description of the grounds for your refund request.
  • Any supporting documentation (e.g., refusal letter from the Consular Authority).

8. Processing Timeline

We will acknowledge receipt of your refund request within 2 business days. A decision on eligibility will be communicated within 10 business days of receiving all required information.

Where a refund is approved, payment will be processed within 14 business days to the original payment method used at checkout. Processing times may vary depending on your payment provider or bank.

Visarun is not responsible for delays in fund settlement caused by third-party payment processors, banks, or card networks.

9. Chargebacks and Payment Disputes

If you initiate a chargeback or payment dispute with your bank or card issuer without first contacting Visarun and allowing us a reasonable opportunity to resolve your concern, Visarun reserves the right to:

  • Dispute the chargeback with supporting evidence, including these Terms and this Refund Policy, which you accepted at the time of purchase.
  • Suspend or terminate your account pending resolution of the dispute.
  • Recover any costs incurred by Visarun as a result of the chargeback process.

We encourage all users to contact our support team before initiating any bank dispute. Most issues can be resolved quickly through direct communication.

10. Visa Outcome Guarantee Programme

10.1 Nature of the Programme

Visarun may, at its sole and absolute discretion, offer individual applicants an enhanced refund guarantee covering either: (i) a full refund of all fees paid, including the Visa / Consular Fee, in the event of a visa refusal; or (ii) a partial refund limited to the Visarun Service Fee in the event of a visa refusal (“Visa Outcome Guarantee”).

The Visa Outcome Guarantee is a discretionary commercial programme forming part of Visarun’s marketing and service offering. It does not constitute a general offer (oferta), a standing commitment, or a term of standard service. It is neither incorporated into, nor implied by, these Terms of Service, this Refund Policy, or any other standard-form document published by Visarun.

10.2 Eligibility and Individual Assessment

The Visa Outcome Guarantee is extended only on an individual, case-by-case basis, following Visarun’s internal assessment of the quality, completeness, and authenticity of the applicant’s documents and personal circumstances. Visarun reserves the sole right to determine, without obligation to provide reasons, whether an individual applicant qualifies for the programme.

No applicant shall have any right to or legitimate expectation of being offered the Visa Outcome Guarantee. Visarun’s decision not to offer the programme to any particular applicant shall not constitute a breach of contract or a violation of any right.

10.3 Binding Effect Only Through Individual Agreement

A Visa Outcome Guarantee becomes legally binding on Visarun only upon execution of a separate written Guarantee Agreement (“Guarantee Agreement”) between Visarun and the individual applicant in respect of a specific visa application. The Guarantee Agreement shall expressly and unambiguously set out: (i) the scope of the guarantee (full or partial refund); (ii) the specific application to which it applies; (iii) the conditions precedent to the guarantee becoming enforceable; and (iv) any exclusions applicable to that individual case.

In the absence of a duly executed Guarantee Agreement, no representation, statement, communication, or course of conduct by Visarun or any of its employees, agents, or representatives shall be construed as creating, implying, or evidencing a Visa Outcome Guarantee of any kind.

10.4 Marketing Communications and Advertising

Any reference to a money-back guarantee, refund on refusal, visa guarantee, or similar on the Visarun website, mobile application, social media channels, promotional materials, or any other marketing medium constitutes advertising of the availability of the Visa Outcome Guarantee programme as a service option. Such references do not constitute a public offer (oferta publica), a unilateral promise, or a guarantee of any kind to any user who has not entered into an individual Guarantee Agreement with Visarun.

No user may rely on any marketing communication as the basis for a claim against Visarun in respect of a refund guarantee. Eligibility for and the terms of any Visa Outcome Guarantee are determined exclusively by the individual Guarantee Agreement executed in respect of a specific application.

11. Changes to This Policy

We reserve the right to update this Refund Policy at any time. Changes will be posted on this page with an updated “Last Updated” date. Your continued use of the Service after any changes constitutes acceptance of the updated policy. We will notify registered users of material changes via email.
