Schengen Business Visa for Trade Fairs and Conferences 2026: Why Indians Get Refused and How to Apply

Why Indian exhibitors and conference visitors get refused in Europe, and how to match invitation, agenda and company papers to each consulate's checklist.

Schengen Business Visa for Trade Fairs - 2026 Quick Answer

A Schengen business visa is a short-stay (type C) visa for up to 90 days in any 180-day period. It covers meetings with partners, negotiations and attending trade fairs, seminars or conferences linked to your profession. It does not cover work: the EU Delegation to India says Schengen visas "are not purpose-bound, but they do not grant the right to work."

As of October 2026, an Indian applicant's core file usually includes:

  • a company covering letter on letterhead, plus company registration and GST documents;
  • a partner's invitation, or a fair pass or stand confirmation;
  • ITR acknowledgments and recent bank statements;
  • a return reservation and travel medical insurance;
  • the EUR 90 adult visa fee (since 11 June 2024).

Apply no more than six months and, as a rule, no later than 15 calendar days before the trip. The purpose, the dates and the documents need to tell one story: German missions in India say most refusals come from incomplete or unverifiable documentation.

In 2025, consulates in India received 1,153,748 short-stay applications and the European Commission's not-issued rate was 15.8%, covering all purposes and applicants; no business-only rate is published.

Business Visit or Work? Where Consulates Draw the Line

EU visa guidance says paid activity needs the work permit required where the work happens, even for stays under 90 days, and national law defines what counts as work.

Germany

German missions in India say a Schengen visa is generally issued with the condition "employment is not permitted", and whether your German host pays you is not the deciding factor.

  • Holding meetings or negotiations, preparing offers, concluding contracts or supervising a contract for an employer based abroad is not employment for up to 90 days within 180 days (BeschV §16 with §30 no. 1), provided you keep your residence abroad.
  • Setting up, dismantling and staffing your own company's fair stand is exempt for up to 90 days within 12 months (BeschV §19(1) no. 4 with §30 no. 2).
  • Installing, servicing or repairing ordered machinery or software is a separate category: the employer notifies the Federal Employment Agency beforehand.
  • Contracts for work and services need Federal Employment Agency approval obtained by the host company; a missing required approval "justifies grounds for rejection".

German missions add that problems arise when planned activities are explained inadequately, so we recommend a day-by-day agenda. Consultancy also needs the German client's confirmation letter.

Switzerland

Of these three countries, Switzerland is the strictest. Under OASA Article 14 (version in force from 1 October 2026), work in Switzerland for a foreign employer needs a permit if it lasts more than eight days in a calendar year, and from day one in sectors such as construction, hospitality, cleaning and security. SEM directives updated on 30 June 2026 treat even an exhibitor at an international trade fair as working. Short business meetings and passive conference attendance are not work; project assignments, maintenance and software implementation are.

According to applicant reports on Reddit in October 2026, an employee of an Indian company planning 34 days at a Swiss client's site was refused with the note that a work visa was needed, in line with the eight-day rule.

France

Under article D5221-2-1 of the French Labour Code, salaried activity of up to three months at colloquia, seminars and trade fairs, and some IT or engineering audit missions by posted staff, is exempt from French work authorisation, but this labour-law exemption is not a visa rule and does not remove posting-of-workers formalities, so we recommend confirming the visa category with the French consulate.

Invitation Letters, Fair Registration and Company Documents

The Visa Code's business list covers an invitation from a firm or authority, other proof of trade relations, fair or congress tickets where appropriate, proof of the company's activities and proof of your employment. Each consulate adds its own checklist:

  • Germany: a signed covering letter from the Indian company with your passport number, purpose, duration and itinerary; Certificate of Incorporation, GST and company registration; a partner invitation in German or English explaining the activities and business relationship; for fairs, a visitor or exhibitor pass or a paid stand confirmation. A meeting schedule is required only for stays over 30 days.
  • Switzerland: an employer letter signed and stamped by HR or management and the partner's invitation with a day-to-day schedule; only checklist documents are accepted, with no later submissions by fax or e-mail.
  • Spain (New Delhi): an original invitation in Spanish stating the purpose and the commercial relationship; for fairs and conferences, an organisers' letter naming your passport number, who pays and your role. The embassy warns that not strictly complying means automatic refusal.
  • Netherlands: an invitation plus an employer cover letter; fair visitors without one can show contracts, invoices or orders with an admission ticket.
  • France: an invitation describing the activity, purpose, duration and place; failing that, admission cards; failing that, the host's commitment to cover costs.

German missions generally do not require an invitation from the fair organiser itself, based on a 2013 Foreign Office instruction quoted on a Messe Düsseldorf page. For Germany, VFS may not refuse extra documents you choose to add.

Self-Employed and Small-Business Applicants

Owners need to show a real business and reasons to return; the Visa Code's examples include a return reservation, financial means, property and family or professional ties.

  • Germany: registration with GST number, ITR acknowledgments for two assessment years or Form 16, and three months of bank-stamped statements; company-sponsored trips add three years of company ITR.
  • Switzerland: GST registration with annex A and B, a partnership deed or proprietorship proof, three months of statements and ITR-V for two assessment years.
  • Netherlands: registration with GST number, business-account statements and an ITR with a verified barcode.
  • Spain: ITR-V or Form 16 for two years and three months of stamped statements.
  • Italy: the Mumbai checklist (July 2024 revision, so confirm the current version for your jurisdiction) asks for three years of company ITR, and the Italian company e-mails the invitation to the consulate beforehand.

According to applicant reports on Reddit in October 2026, one applicant back from three years of work in the UK had no Indian ITR for two years. We recommend explaining such gaps in the covering letter, with supporting documents.

Most Common Refusal Grounds and What They Mean

Article 32 of the Visa Code requires refusal when the purpose is not justified or there are reasonable doubts about documents, statements or your intention to leave. The reasons are ticked on the Annex VI refusal form:

  • Ground 2: "justification for the purpose and conditions of the intended stay was not provided";
  • Ground 3: no proof of sufficient means of subsistence;
  • Ground 10: "the information submitted regarding the justification for the purpose and conditions of the intended stay was not reliable";
  • Ground 11: doubts about specific statements, which the consulate names;
  • Ground 12: doubts about the authenticity of documents or the truth of their contents;
  • Ground 13: doubts about your intention to leave before the visa expires;
  • Ground 16: no proof of adequate travel medical insurance.

German missions give no explanation beyond the letter. EU guidance flags event dates that do not match the real ones, or a congress invitation without proof of a related profession.

According to applicant reports on Reddit in October 2026, two Indian applicants to France (a sponsored conference, an iGEM student team) were refused as "not reliable"; an Indian exporter bound for the Barcelona Textile Expo got grounds 10 and 13 from Spain; a MEDICA visitor of unstated nationality got ground 2 despite a visitor pass.

For 2025, European Commission not-issued rates at consulates in India were Switzerland 13.6%, France 15.3%, Germany 10.5%, Netherlands 20.7%, Spain 15.4% and Italy 12.7%, with France at 27.4% in New Delhi against 7.9% in Bangalore. These cover all purposes and applicants, so they are not business-visa rates.

Timing Around Big Fairs and Conferences

MEDICA 2026 runs in Düsseldorf on 16-19 November, and German missions state that a fair's start date gives an application no preferred processing.

Their page dated 3 June 2026 says courier transfer from VFS can take up to six working days, average processing is 15 days after arrival, and neither the mission nor VFS can expedite. If you plan to travel within 15 calendar days of the file reaching the visa section, it is returned unprocessed with a fee refund. Counting back from mid-November, a file lodged in mid-October is already tight.

German missions' "urgent business" and "urgent trade fair" appointments, at no extra charge, cover travel within four weeks of the appointment and secure a slot, not faster processing; "urgent trade fair" is only for exhibitors. At German fairs, exhibitors avoid the visa fee only if the individual exhibitor pass is submitted with the application; visitor-pass holders pay it.

According to applicant reports on Reddit in October 2026, Web Summit and Slush applicants waited 18 and 11 days: anecdotes, not standards.

After a Refusal - Appeal or Reapply

The refusal form states the appeal authority and deadline, so follow your own letter. The refusal is recorded in the VIS but does not lead to an automatic refusal next time.

  • Germany: no remonstration in India; a lawsuit at the Administrative Court of Berlin within one month, court fee currently EUR 483 paid upfront; or reapply any time, with no waiting period.
  • France: a reasoned, signed appeal in French by post within 30 days to the Deputy Director of Visas in Nantes, mandatory before court.
  • Spain (New Delhi): a signed letter in Spanish, delivered in person within one month; decisions take up to one month with no expediting; court review in Madrid within two months.
  • Switzerland: a written appeal in German, French or Italian to SEM within 30 days, with an advance on costs of CHF 200.
  • Italy: an appeal to the TAR Lazio within 60 days of notification.
  • Netherlands: an objection to the IND within 4 weeks.

With a fair days away, an appeal will usually not be decided in time: according to applicant reports on Reddit in October 2026, the Barcelona-bound exporter appealed five days before the flight. A fresh application suits a fixable gap, such as a missing ITR or a vague invitation. Visarun helps to prepare and check such files; the decision belongs to the consulate.

Recent Changes (2025-2026)

  • EES: started on 12 October 2025 and fully operational since 10 April 2026, replacing passport stamps.
  • EC statistics published on 28 May 2026: a global refusal rate of 14.6% in 2025, against 14.8% in 2024; India was the third-largest applicant country with 1.15 million applications.
  • Germany abolished remonstration worldwide from 1 July 2025; in India it ended on 1 January 2024.
  • German urgent business and urgent trade-fair appointment categories (FAQ dated 3 June 2026), with no fast track.
  • Cascade visas (since April 2024): Indians who lawfully used two visas within three years can get a two-year multiple-entry visa, normally followed by a five-year one; German missions stress there is no entitlement.

FAQ

Can I visit a trade fair as a visitor on a Schengen business visa?

Yes, it is a recognised business purpose, though approval depends on the file. Germany asks for a visitor or exhibitor pass, and visitors pay the regular EUR 90 fee.

Which consulate handles a trip to several countries?

The consulate of your main destination, judged by days spent or by purpose; if none can be determined, the country of first entry.

VFS has no Conference category. Which one fits?

According to applicant reports on Reddit in October 2026, the Swiss VFS form offers Tourist, Business, Visitor and Other only. The Visa Code treats conference invitations as business documents; we recommend checking the consulate's checklist.

Can researchers or students get the fee waived?

Researchers at scientific conferences and non-profit representatives aged 25 or under at non-profit events can be exempt if they fit the category; the consulate decides. According to applicant reports on Reddit in October 2026, a fee-exempt non-Indian convention visitor in Essen was still refused.

Can I get a multiple-entry visa for regular fairs?

EU guidance asks consulates to consider long multiple-entry visas for regular business travellers, for example to a twice-yearly fair. Cascade visas are another route, without entitlement.

Can I give a talk at a conference?

Switzerland's SEM describes passive attendance, in particular without giving a presentation, as not gainful activity, so a talk is not covered by that example. We found no official position for Germany, Spain or Italy; we recommend asking the consulate and listing the talk in your agenda.

Does a previous refusal block my next application?

No. Each application is assessed on its own merits, but the refusal stays in the VIS, so the new file should address the issue the letter named.

Can Visarun guarantee my visa?

No. Visarun is a visa agency: we help to prepare and check the invitation, agenda and company documents, but the consulate makes the decision.
