How to Apply for a Schengen Visa from the USA (Quick Answer)
If you live in the US on an H-1B, H-4, F-1 or green card and your passport needs a Schengen visa, as an Indian one does, you normally apply in the US. The European Commission's general rule is to apply at the consulate responsible for the country where you legally reside.
The steps, as of September 2026:
- Choose the country of your main destination, by days spent or purpose.
- Book with its consulate covering your home address, directly or through a visa centre such as TLScontact, BLS International or VFS Global.
- Apply up to six months ahead and, as a rule, no later than 15 calendar days before travel.
- Bring proof of US status valid at least three months beyond your exit from the Schengen area.
- Pay EUR 90, charged in dollars, plus any visa centre fee.
- Allow 15 days for a decision, or up to 45.
Which Consulate - The Main Destination Rule and US Jurisdictions
The Schengen Visa Code picks the country first: the sole destination or, with several, the main destination by days or purpose; if none can be determined, the country whose external border you cross first. Nine days in Italy and four in France make it an Italian application.
Your residence picks the consulate. Under Article 6 of the Visa Code, the consulate covering the area where the applicant legally resides decides, and someone only legally present in its area needs to justify applying there. Providers and districts below come from official pages as of September 2026.
France
The French Consulate General in New York covers Connecticut, New Jersey, New York and Bermuda and refers visa applicants to France-Visas and its provider, TLS VISA. According to The Local (March 2025), citing France-Visas, TLScontact replaced VFS Global in the US on 18 April 2025.
Germany
German missions take Schengen appointments through BLS International, except in the Atlanta district, where applicants book and apply directly at the Consulate General. New York covers New York, New Jersey, Pennsylvania, Fairfield County in Connecticut and Bermuda; San Francisco covers Northern California, Alaska, Hawaii, Idaho, Montana, Oregon, Washington, Wyoming, American Samoa and several minor US islands.
Italy
Italy's Consulate General in New York takes applications itself, by Prenot@mi online appointment only, and only from residents of New York, Connecticut, Bermuda and 13 New Jersey counties: Bergen, Hudson, Morris, Passaic, Sussex, Union, Warren, Essex, Middlesex, Monmouth, Hunterdon, Mercer and Somerset.
Spain
Spain's Consulate General in New York handles residents of its district whose only or main destination is Spain, through the BLS International centre in New York. BLS is officially confirmed for New York only; elsewhere, check your Spanish consulate's page.
Netherlands and Switzerland
Dutch applications go through VFS Global centres in Chicago, Houston, Los Angeles, Miami, New York, San Francisco and Washington D.C., for US residents only. Switzerland has used VFS Global in the US since 1 October 2025.
Appointments in the US - Why Autumn Slots Disappear
The autumn shortage is reported by applicants, not announced by consulates. According to applicant reports on Reddit in September 2026:
- A New Jersey couple who moved a France trip to 2 October found the earliest New York appointment on 21 September, 11 days before departure.
- Parents with Indian passports and green cards, flying to the Netherlands in late September, had no bookable slots on the VFS New York portal.
- An Indian H-1B and H-4 family near San Francisco could not get Swiss slots for an early-October trip.
These are single reports, not official waiting times. Still, applications go in, as a rule, no later than 15 calendar days before travel, and standard processing takes 15 days, so an appointment 11 days out leaves no room for a normal decision.
The Visa Code says appointments should, as a rule, come within two weeks of the request, and a consulate may take justified urgent cases without one, at its discretion.
In an undated live notice seen in September 2026, the Dutch foreign ministry warns that high-season volumes may push average processing for Dutch Schengen visas worldwide, not only in the US, to 25 calendar days, and to 45 in some situations. We recommend booking as soon as your dates are fixed.
Documents for H-1B, H-4, F-1/OPT and Green Card Holders
Proof of US status
As of September 2026, German missions accept a green card or a valid US visa of type A, E, F with an endorsed I-20, G, H, I, J with the J-1 document, L, O or R. Italy's New York consulate accepts a long-term US visa other than B1/B2, a green card, an I-20 for F-1 holders or Advance Parole, valid at least 90 days after you leave the Schengen area. We recommend three months of US status left after the trip.
- H-1B and H-4: an unexpired visa stamp plus the I-797.
- F-1 and OPT: the F-1 visa and a travel-endorsed I-20; neither list mentions an EAD.
- Green card holders: the green card.
Italy's New York consulate says an I-797 cannot be used instead of a valid visa; if a long-term visa expires within three months, an Advance Parole stamp needs to be in the passport already. If your stamp has expired, check with your consulate before booking.
Funds, employment, insurance and passport
- German missions ask tourist applicants for three months of personal US checking-account statements; foreign bank statements, fixed deposits, travel money cards, credit card limits and cash are not accepted as proof of funds, which rules out Indian bank statements.
- They also ask for a recent signed employer letter with length of employment, salary, approved leave and travel purpose, or a recent enrollment confirmation for students.
- Travel medical insurance: valid in all Schengen states for the whole stay, with at least EUR 30,000 of cover.
- Passport: valid at least three months after you leave the Schengen area, with at least two blank pages, issued within the previous 10 years.

Fees and Processing Times
The Schengen visa fee is EUR 90 for adults and EUR 45 for children aged 6 to 11; under 6 it is free. Each consulate converts it into dollars at its own rate and date, so EUR 90 costs roughly USD 103 to 106 in 2026, depending on the consulate. As of September 2026:
- Spain, New York: USD 106, or USD 53 for children aged 6 to 12 inclusive, from 1 January 2026, by USPS money order only.
- Switzerland, price list from 1 April 2026: USD 103, or USD 52 for children.
- Italy, New York: USD 104.90, or USD 52.50 for children, valid 1 July to 30 September 2026 only; the consulate resets dollar amounts every quarter.
Visa centres can add a service fee, so check its amount on the provider's booking page.
Standard processing takes 15 days, extendable to 45 if closer examination or more documents are needed. Italy's New York consulate says visas normally take 7 to 15 days, depending on nationality and visa type. Appointment waiting time comes on top.
Green Card Holders and Their Families - Who Needs a Visa
A green card does not replace a Schengen visa. Asked whether green card holders still need a visa for Italy, the Italian Consulate General in New York says it depends on nationality. India, Ghana, Indonesia, Kenya and Vietnam are on the EU visa-required list, while US nationals are exempt for up to 90 days in any 180-day period.
That splits mixed families: a US-citizen spouse or child travels visa-free, while relatives with Indian passports apply, green card or not. According to applicant reports on Reddit in September 2026, one US citizen realised only on the morning of a France trip that their partner, a Ghanaian national with a green card, needed a visa.
If a spouse or relative funds the trip, for example an H-4 spouse without their own income, German missions ask for a signed sponsor letter, the sponsor's employment letter and three months of bank statements, proof of relationship and a passport copy.
Parents visiting on B1/B2 visas generally cannot apply in the US: Italy's New York consulate excludes B1/B2 visas from accepted proof of US residence, and the Swiss Embassy accepts only people with legal US residence status. Under the general rule, they apply where they legally reside.
Getting Back Into the US After Your Trip
Automatic visa revalidation covers only short trips of 30 days or less to Canada or Mexico, plus adjacent islands for F and J students. Europe never qualifies, so an H-1B, H-4 or F-1 holder with an expired stamp needs a new US visa before flying back.
Getting it in Europe is generally not an option: according to a Morgan Lewis analysis of State Department guidance (September 2025), applicants should book US visa interviews in their country of nationality or residence. Check travel.state.gov for current rules.
H-1B holders
USCIS, on a page updated 31 August 2026, says the H-1B presidential proclamation does not apply to previously issued, currently valid H-1B visas and does not prevent current holders from travelling in and out of the United States.
F-1 and OPT students
According to ICE, returning F-1 students need an I-20 endorsed for travel and signed by their DSO; Study in the States advises a signature from within the last year. Students with approved OPT are expected to carry their EAD as well as the I-20, a valid passport and visa, and an employment letter if they have one.
Green card holders
USCIS says permanent residents returning from temporary travel abroad present a valid, unexpired green card.
Common Refusals and Mistakes
The Visa Code requires a refusal if the applicant does not justify the purpose and conditions of the stay or prove sufficient means, or if there are reasonable doubts about the documents, statements or intention to leave before the visa expires.
According to applicant reports on Reddit in September 2026, a Vietnamese national with a 10-year green card and earlier Schengen trips was refused a Swiss visa at VFS New York because justification for the purpose and conditions of the stay was not provided.
European Commission statistics for 2025, published in May 2026, cover all applicants at Schengen consulates in the US: 187,033 short-stay visa applications, 173,907 visas issued and 9,194 not issued, a not-issued rate of about 4.9% by the Commission's formula. These figures mix every nationality and are not refusal rates for Indian passport holders.

- Choosing a country for its free slots, not the main destination.
- Applying outside your consular district.
- Relying on an I-797 with an expired stamp.

If the visa is refused
Refused applicants can appeal against the deciding country under its national law. Spain's New York consulate accepts appeals within one month, in Spanish, through the BLS centre with a passport copy.
