Students require specific educational visas, and employment necessitates work permits. Long-term stays exceeding 90 days or work-related visits require a Certificate of Eligibility from the Immigration Services Agency of Japan before applying for a visa.
Step 2: Document Preparation and Organization
Gather essential documents systematically:
- Valid passport with validity covering your entire stay in Japan
- Completed application form with recent photograph (4.5 x 3.5 cm, taken within 6 months)
- Supporting documents specific to visa category
- Financial proof and accommodation details
- Travel itinerary including entry and departure dates
All documents issued in languages other than English or Japanese must be translated into English or Japanese, including the date of translation, translator's name, and signature.
Step 3: Application Method Selection
You may apply for a visa at the consular section of the Diplomatic Mission of Japan with jurisdiction over your place of residence, at an accredited agency, the Japan Visa Application Centre, or online, by the method specified by the Diplomatic Mission of Japan where you will submit your application. The Japan eVISA system allows foreign nationals who need a short-term visa to Japan and currently reside in Australia, Brazil, Cambodia, Canada, Saudi Arabia, South Africa, Taiwan, United Kingdom, or USA to apply online for tourism visas. The eVISA system currently supports only single-entry short-term stay (up to 90 days) visas for tourism purposes. Japan does not permit direct online visa processing for all categories, meaning that even after booking an appointment online, applicants must visit the center in person to complete the process.
Step 4: Application Form Completion
Complete forms through official channels - either the Japan eVISA portal (if eligible) or paper submission. Ensure accuracy in personal details, travel dates, and purpose statements. Double-check all information before submission to avoid processing delays. Fill in all items in English, and if an item is not applicable, fill in "N/A".
Step 5: Appointment Scheduling and Submission
Starting March 2, 2026, applicants in Chennai, Hyderabad, Kochi, and Puducherry will no longer be able to walk in and submit their visa applications without prior scheduling. Applicants will need to book their appointments through the official VFS Global Japan-India portal and ensure they have the necessary documentation. Book appointments through designated Japanese consulates or visa application centers. Submit complete documentation during your scheduled visit. Arrive punctually with organized paperwork. The earliest you can apply is 90 days before your travel date.
Step 6: Fee Payment
Pay applicable visa fees using accepted methods. Standard visa fees for 2026 are approximately INR 450 (approximately USD 5) for both single- and multiple-entry visas for Indian citizens. VFS service charges may apply separately. Retain payment receipts for tracking purposes. Payment methods vary by location and typically include cash, money orders, or certified checks.
Step 7: Biometric Data Collection
All foreign nationals entering Japan, with the exemption of certain categories, are required to provide fingerprint scans and be photographed at the port of entry. This requirement applies during the immigration clearance process upon arrival, not during the visa application stage.
Step 8: Application Tracking
Standard processing takes approximately one week, provided that all necessary requirements are met. Processing typically takes 5-10 working days, but travellers should apply at least 3-4 weeks in advance. It may take longer than usual to receive the result of the visa examination in case the Diplomatic Mission of Japan deems necessary to consult with the Ministry of Foreign Affairs in Tokyo. Monitor application status through official tracking systems provided by your consulate or visa application center.
Step 9: Visa Collection
The Diplomatic Mission of Japan or the accredited agency will notify the visa applicant of the result. Collect approved visa from submission location or receive postal delivery if arranged. Verify all details immediately upon receipt, including visa validity dates, number of entries permitted, and personal information accuracy.
Handling Rejections
If rejected, review reasons provided and address deficiencies before reapplication. Depending on the content of application, additional documents may be required through the visa application center, and if you fail to submit within 1 month from the date of request by the embassy, the application will be terminated. Consider consulting visa specialists for complex cases requiring appeals or document clarification.
